Access and Navigation Tips

Accessing Schoology

Parents/guardians that have a myBCPS account connected to BCPS students are provided access to Schoology, our learning management system, through BCPS One.  Schoology is where parents can view student courses, grades, assignments, and communicate with teachers.  Parents can access Schoology by logging in to BCPS One and clicking the “Schoology Learning Management System” tile on the top left corner of the BCPS One splash page.  For step by step directions for accessing Schoology visit the Accessing Schoology instructions or watch the help video Accessing Schoology.

Navigating Parent View

When you first log in to Schoology you will be in your personal account, or Parent View.  You will see your own name in the top right corner.  Check out this resource for more support Navigating the Parent View in Schoology or watch the help video Navigating the Parent View in Schoology.

Parent View Homepage

In your Parent View, your personal account homepage displays activity related to any courses and groups in which you are enrolled, as well as school information from the school with which you are associated.  Check out this resource for more support Navigating the Parent View in Schoology or watch the help video Navigating the Parent View in Schoology.

Recent Activity

Your Recent Activity area displays updates from the school, courses, and groups in which you participate. You can filter the Recent Activity feed by clicking the drop-down menu (labeled Most Recent) to the right of the Recent Activity heading.

Upcoming

On the right column of the Recent Activity page, the Upcoming area displays a list of impending events and due dates for graded items in the school, courses, and groups in which you're enrolled. To view more details about the item, click the item name from the list.

Course Dashboard

The Course Dashboard enables users to view all their courses as a tiled list. From the Course Dashboard, click into any one of your courses and go directly to its main landing page. Drag and drop the tiles to rearrange the order of your courses on the dashboard. This also rearranges the order in the Courses drop-down menu. If you not enrolled in any courses as a parent, then there will be no courses on your Course Dashboard.

Parent View vs Student View

Remember, in Schoology parents have two different view options. When parents first log in to their account they will be in their Parent View in which they can view information and notifications related to their personal account. Parents can switch to Student View using the drop-down menu in the top right corner to select a student. From the student view, parents can view activity related to the student. Parents can view recent activity including graded assignments, as well as view course and group content. The Student View allows to parent to view what the student sees in Schoology.

Search Icon

The search icon can be used to look up another Schoology user. Parents can use this feature to look up teachers in order to send a message or view Schoology profile information.

Parent Calendar

Access your personal calendar by clicking the calendar icon in the top navigation of your personal account. Your personal calendar displays personal events you've created for your account, as well as events and assessments for the school, courses, and groups in which you're enrolled.

Notifications & Requests

On the right side of the navigation bar the bell icon displays Notifications & Requests. Any time someone sends you a message, wants to connect, or does something that pertains to you or your affiliations, it will be made easily accessible in the top right corner of your screen. Everything is chronologically ordered and clickable to make managing them simple. In the image to the right, a parent receives an invitation to a join group.

Parent View Notification Settings

Parents can adjust settings to determine how Schoology notifications are received. To adjust the settings for your personal account, select Settings from the drop-down menu, and select the Notifications tab. You can determine who you want to receive notifications from any courses, groups, or schools that you are affiliated with. If you have connected to Schoology via the mobile app you will see additional notification options as well as a list of your connected devices. Be sure to click Save Changes when finished.

Navigating Student View

As a parent/guardian you can also view your account activity of any student that you are connect to through BCPS One.  You will be able to tell when you are in the Student View because you will see a green check next to the name of the student account you are viewing.  You will also see a blue bar at the top of your screen indicating you are in the Student View.  Check out this resource for more support Navigating the Student View in Schoology or watch the help video Navigating the Student View in Schoology.

On the Student View Homepage you can view Schoology from your student’s perspective. Here you will be able to view your student’s Courses, Groups, Grade Report, Student Activity, Enrollments, Recent Grades such as assignments, test/quiz activities, discussions, and Upcoming assignments or events.  Check out this resource for more support Navigating the Student View in Schoology or watch the help video Navigating the Student View in Schoology.

Activity Filter

If your child is active in multiple course, the Student Activity view might contain numerous items organized chronologically. Parents can use the Most Recent drop-down menu to filter the list in order to view/locate specific types of activity.

Enrollments

Enrollments allows you to see the Courses and Groups that your student is enrolled in, as well as current grades for the Courses. Keep in mind that students in grades 1-3 use the Primary Achievement Scale which does not calculate an overall grade, so no grade will display on this page. To view individual assignment grades for this student parents can click on the course and then grades, or use the Grade Report tab.

Viewing Student Courses

When in the Student View, parents can click on Courses in the top menu bar to view the student’s courses. In this view a parent will be able to see content and activity related to the student. Parents would be able to see any content, resources, and grades that their student can see. Parents will not be able to see the names of any other students enrolled in the course or any content posted by other students.

Viewing Student Groups

When in the Student View, parents can click on Groups in the top menu bar to view any groups that the student is a member of. In this view a parent will be able to see content and activity related to the student. Parents would be able to see any posts, updates, and resources that their student can see. Parents will not be able to see the names of any other student members of the group or any content posted by other students.

Grade Report

The Grade Report tab is accessible from the top menu bar. This feature allows parents to easily access course grade reports for all the student’s courses without having to click in to each individual course to access the Grades tab. To view grades parents can click on each course to display the report. Current marking period grades will show beneath the title. Parents can view grades for multiple courses at the same time and can use the arrows to view assignments from previous marking periods. Parents even have the option to download a copy of the grade report.

Student Calendar

The Schoology Calendar is an important, organizational element for student courses and groups. It keeps events and due dates organized and easily accessible. When you are in the Student View, you can access your student’s Schoology Calendar by clicking on the Calendar icon in the top menu bar. This will allow you to view events and due dates by the month, week, or day. Each item is color-coded depending on the courses, groups, school, or personal events. Due dates for assignments, assessments and important course related events are automatically added to your student’s calendar and managed by the instructor.

Switching Between Students

If you are a parent of more than one BCPS student, then you are going to want to switch back and forth between student accounts. To switch between student accounts, select the drop-down menu in the top right corner. The green check will indicate which account you are currently viewing. To switch to another student, click on the student in the list. You will now see the green check next to that student’s name, and the blue bar at the top should confirm that you are now in the Student View for that student.

Troubleshooting Parent Accounts

If you are not seeing your students when you log in to Schoology through BCPS One or the Mobile app, then it’s possible that your child’s school does not have your current e-mail address on file. The address that the school has on file should match the address used for your myBCPS account. You can contact your child’s school office to verify that they have your correct e-mail address. Enrollments

Enrollments allows you to see the Courses and Groups that your student is enrolled in, as well as current grades for the Courses.  Keep in mind that students in grades 1-3 use the Primary Achievement Scale which does not calculate an overall grade, so no grade will display on this page.  To view individual assignment grades for this student parents can click on the course and then grades, or use the Grade Report tab.  See more information about navigating to Enrollments on the Schoology Parent Home Page

Grading Categories

In the BCPS Gradebook grades are organized into specific categories according to Policy 5210 outlined in the BCPS Grading and Reporting Manual.  The majority of content areas in grades 1-12 use the grading categories Major, Minor, and Practice.  In the gradebook these categories are weighted with Major assignments counting for 30% of the overall grade and 70% for Minor.  Any non-graded assignments that the teacher scores to provide student feedback between graded assignments is placed in the Practice category which does not count towards the overall grade. 

*Note:  Some specific content areas may have specialized categories to meet their content needs.

When viewing a student grade report, you may see different icons next to the student grades.  These symbols indicate the type of graded material (assignment, test/quiz, or discussion).  For more information on materials, visit the Course Materials page in Schoology.

Grade Exceptions

There are three types of Grade Exceptions that parents may see in the gradebook. The exception symbols can sometimes be viewed in place of a grade to indicate that an assignment is either Excused, Incomplete, or Missing. Excused and Incomplete assignments to not calculate in the overall grade. Assignments marked as Missing are calculate in the overall grade as a 0%.

When providing grades to students, teachers may also choose to add a comment. Grade comments are visible in a student grade report to the right of the grade.

Navigating to Grades

One way to navigate to view your student’s grades in Schoology is through their courses.  To do this from your Student View, click on Courses, select the course you want to view, and then select Grades from the left navigation bar.  This will take you to the student grade report for that course.  See the video for How to Check Grades for more information.

Grade Report

The Grade Report tab is accessible from the top menu bar. This feature allows parents to easily access course grade reports for all the student’s courses without having to click in to each individual course to access the Grades tab. To view grades parents can click on each course to display the report. Current marking period grades will show beneath the title. Parents can view grades for multiple courses at the same time and can use the arrows to view assignments from previous marking periods. Parents even have the option to download a copy of the grade report.

Student Grade Report

The student grade report shows a list of graded and non-graded assignments by category. From the student grade report, in the left column you can click on the title to directly view any digital assignments. In the grade column you will see the students total score for each assignment, as well as a symbol that indicates the type of graded material (assignment, test/quiz, district assessment, etc.). You may also see a Grade Exception symbol which indicates if an assignment is excused, incomplete, or missing. In the right column you will also be able to view any comments that the teacher has added to provide feedback to students.

Viewing Submissions and Teacher Feedback

When students submit an assignment in Schoology the teacher can provide the students with additional comments and feedback throughout the learning process. If you click on the title of an assignment, and then select your students’ submission on the right, you will be able to view the assignment your student submitted in addition to feedback or comments provided by the teacher.

Viewing Assessment Results

To view the results of a Test/Quiz activity your student has completed, click on the title of the assignment in the student grade report. You will be able to see when the student started and completed the assignment, how long it took to complete, as well as the overall score. To view the individual assessment results, click on the View Assessment link on the right. If the teacher has enable to student to view the correct answers after completing the activity, then you will be able to view the responses as well to see how your child answered each question. Keep in mind that some end of unit assignments are secured at the district level so individual student responses might not be visible.

Viewing Student Discussion Posts

Parents are able to view student participation in a course discussion activity. To do this, navigate to the desired course and click on the Discussion title from the materials page. You can also locate the Discussion title in the recent activity summary and/or grade report. When viewing the discussion as a parent you can see the content posted by the teacher at the top, as well as your student’s individual posts/comments. You will not be able to view the names or posts from other students as they will be blocked by grey bars. This feature protects individual student privacy.

Course Materials

Course materials can encompass anything from lessons and presentations, to assignments and exams. Each course may be organized differently, so the course materials might be listed in Materials, or organized into folders. To access your child’s course materials, go to the individual course’s left-side menu in any course and select the Materials button. Folders are used to organize information on the Materials page.  The arrow to the left of any folder icon can be used to expand the folder to view its contents without leaving the original page.  For more information on materials, visit the Course Materials page in Schoology.

Pages are resources created by teachers to supplement a course. These pages are highly versatile, allowing for the inclusion of text, image, outside link, and video information.  They act like a webpage inside a course.  For more information on materials, visit the Course Materials page in Schoology.

Course Materials: Links

Links connect students to outside web content and resources to increase understanding and enhance learning. Links may also connect students to other content with Schoology to reference past learning and content.  For more information on materials, visit the Course Materials page in Schoology.

Course Materials: Files

Files that have been added to courses can appear inside of Folders or on the main page of course materials. Typical file types can be viewed in the browser without having to download the file. These include:  Word (.doc, .docx), Excel (.xls, .xlsx), PowerPoint (.ppt, .ppt), PDF (.pdf).  For more information on materials, visit the Course Materials page in Schoology.

Course Materials: Discussions

Discussions are interactive conversations that allow participation between students and classmates and the teacher. Parents have the opportunity to view discussion boards, but not to participate in classroom online discussions.  For more information on materials, visit the Course Materials page in Schoology.

Course Materials: Assignments

Assignments are items that can fall into various categories of grading (major, minor, practice).  Teachers have the option to allow students to submit those Assignments electronically and then give students feedback on that work.  The student work (if submitted digitally) and teacher feedback can be viewed by both students and parents in Schoology by clicking on the assignment name.  For more information on materials, visit the Course Materials page in Schoology.

Course Materials: Test/Quiz Activities

The tests/quizzes material are one type of online assessments for courses. Don’t be fooled by the name, as these can be used in a variety of ways to checks for learning and understanding, not just as traditional tests and quizzes.  They also can have an assortment of question types which can provide electronic and/or direct teacher feedback.  Note:  these assessments are different than District Assessments which have more specific rules for administration and grading.  For more information on materials, visit the Course Materials page in Schoology.

Course Materials: Media Albums

Media Albums are teacher created spaces where students and teachers can share images, and teacher and peer feedback can be exchanged.  For more information on materials, visit the Course Materials page in Schoology.

Course Materials: District Assessments

Assessments are another type of online assessment in courses. These are meant to summatively measure student learning at the end of a unit or learning cycle.  These are released by the district and are required for student completion in specified courses.  Each Assessment will vary depending on the course and content being assessed.  Assessment allow students a single attempt and are secured digital content.  For more information on materials, visit the Course Materials page in Schoology.

Course Materials: Navigating Materials

The Materials page in a Schoology Course may contain an assortment of course materials.  Folders are often used to organize course materials, and they're distinguished by the folder icon next to their name.  Folders may be navigated by selecting the arrow to the left of the icon to expand the items housed inside.  Individual materials may be click on to access further details regarding those items.  For more information on materials, visit the Course Materials page in Schoology.

Course Materials: Student Completion Rules

Teachers can set student completion rules to folders in order to track student participation and progress through content.  Parents can view student progress by clicking on the Student Progress icon in any course folder that has student completion rules set.  The Student Progress window will show the content and student progress towards completion.  If you do not see the Student Progress icon in a folder then it means that no student completion rules have been set. 

Communication Tips

Receiving Messages

Teachers can send messages to parents in Schoology to keep them up to date on classroom news and events.  Parents can view any Schoology messages sent to them from their personal Schoology account by clicking on the Message icon in the top menu bar.  Any messages from the teacher, course, or groups that you are affiliated with will display in the drop-down menu.  Click on the message to view the entire message in the expanded messaging window.  See the Managing Parent Accounts page for more information on messaging in Schoology.

Sending Messages

Parents can send a Schoology message to a BCPS staff member using the Message icon in the top menu bar.  To start a new message, click on the message icon in the top menu bar and select New Message.  Type the name of the staff member you want to message and then select the teacher from the names that populate in the list.  Check out this support tutorial on Schoology Messaging to view step by step instructions for messaging. 

*Note:  Parents are not able to message students or other parents using Schoology Messaging. 

Parent View Notification Settings

E-mail Notifications

When you choose to receive Schoology notifications via e-mail, Schoology will send you an e-mail with all notifications for any courses and groups that you are affiliated with in Schoology. 

Notifications for messages can be replied to directly from your e-mail account without having to log in to your Schoology messages. 

Course or group notifications cannot be relied to via e-mail, users will need to log in to Schoology in order to add comments.  Users will also have to log in to access any attachments.  Check out the Parent Email Digest page for more information.

Student View Notification Settings

Parents have the ability to customize settings for their personal Schoology account, as well as for the Student View.  From the Student View, you can click your student’s name in the top right corner and select Settings from the drop-down menu.  From the Notifications tab you can request to have the Parent Digest (an e-mail summary) sent to you either daily or weekly to help you stay on top of any graded assignments for your student.  Parents can also customize when the Parent Digest e-mail is sent.  Parents also can request an e-mail notification for overdue submissions.  This way you will receive an e-mail notification alerting you any time your student has an overdue assignment. *Note:  If you have more than one BCPS student, this process must be repeated for any additional students you are connected to in Schoology.  You can do this by selecting another student’s name from the drop-down menu in the top right corner and repeating the process outlined above. 

Parent Digest

The Parent Digest is an e-mail summary report that parents can choose to receive via e-mail either daily or Weekly.  This report outlines all student activity in Schoology for the day/week.  Parents can view a list of all assignments for all courses as well as any grades received.  Links from the Parent Digest e-mail can direct a parent back to Schoology in order to view any assignment or activity in detail.  Parents with multiple students will receive one report that contains information for all students.  Check out the Parent Email Digest page for more information.

Overdue Assignments

Parents can choose to receive an e-mail notification for any student assignments that are overdue.  Overdue assignments can also be viewed on the right hand side of the Student Activity window when in the Student View in Schoology.  See the Overdue Assignments support page for more information.

Group Tips

Joining Groups

To join a Schoology group, you can click the blue Join button when you locate the group in your search.  You can also join a group if you have the Access Code.  If you select Groups, My Groups, and click the blue Join Group button, you can enter your access code and click Join.  The new group will now appear in your group menu.  Parents can only join Schoology group, when in the Parent View for their personal account.

When in the Student View, parents can click on Groups in the top menu bar to view any groups that the student is a member of.  In this view a parent will be able to see content and activity related to the student.  Parents would be able to see any posts, updates, and resources that their student can see.  Parents will not be able to see the names of any other student members of the group or any content posted by other students.

Getting Started with the Schoology Mobile App

Schoology has a mobile app that allows users to access Schoology on the go.  The mobile app can be downloaded for Android and iOS devices to provide users with quick and easy access to many of Schoology’s features.  For step by step instructions for how to get the Schoology Mobile app check out Getting Started with the Schoology Mobile App.

Mobile App Dashboard

The Dashboard in the Schoology mobile app can be accessed using the menu icon in the top left corner.  From the menu parents have access to many of the features they have in the online version of Schoology such as messaging, notifications, any course or group information, as well as access to view content and grades for any connected students.  See the Mobile App for Parents page for more information.

Messaging

The messaging icon in the Schoology mobile app is located at the top of the menu screen.  A red circle next to the message icon will indicate that you have a message waiting to be viewed.  To send a new message, click the plus icon in the top right corner and type in the name of the staff remember you want to message.  When you have added a subject and text, click the green check mark in the top right corner to send the message.  See the Mobile App for Parents page for more information.

Notifications

Notifications can be accessed in the Schoology mobile app via the menu dashboard.  Here you can view notifications for any course or groups that you are affiliated with. Links in notifications can take you directly to a post, assignment, etc. to view in more detail.  See the Mobile App for Parents page for more information.

Requests

You may receive a request to join a group.  Requests like this will appear in the menu dashboard.  To accept a request click accept.  See the Mobile App for Parents page for more information.

Accessing Student View

Parents can view student content and grades in the Schoology mobile app through the My Children option in the menu dashboard. See the Mobile App for Parents page for more information.

My Children Dashboard

The My Children Dashboard in the Schoology mobile app is similar to the Student View that parents have in the online version.  Parents can access the My Children Dashboard by selecting My Children from the menu.  From the My Children Dashboard parents van view a Summary which shows the same Student Activity and Enrollments pages that are visible in the Student View in the online version.  In the mobile app parents can also view Grades, Calendar, Course, and Groups, as well as use the drop-down menu to switch back and forth between students.  See the Mobile App for Parents page for more information.

Summary View

From the My Children Dashboard parents van view a Summary which shows the same Student Activity and Enrollments pages that are visible in the Student View in the online version.  Also included on the Summary view is the Enrollments page which allows you to easily view any course your student is enrolled in, as well as view all student overall grades at a glance.   See the Mobile App for Parents page for more information.

Grades View

From the My Children Dashboard parents can click Grades to view a student grade report.  Clicking on the individual course titles will allow you to view your child’s grade report for that course include all assignments, grades, and comments by category.  Clicking on the assignment title will take you directly to the assignment.  Multiple course reports can be viewed at once by selecting multiple courses.  See the Mobile App for Parents page for more information.

Calendar View

From the My Children Dashboard parents can click Calendar to view a student calendar.  This will allow you to view any events and due dates by the month, week, or day for your student’s account. Each item is color-coded depending on the courses, groups, school, or personal events. Student Activity

The Student Activity page is visible to parent from the Summary view in the My Children Dashboard in the Schoology Mobile App.  On the Student Activity page you can see any recent submissions or graded activities for your student.  Clicking any of the links will take you directly to the activity in Schoology so that you can view additional details.  Also included on the Summary view is the Enrollments page which allows you to easily view any course your student is enrolled in, as well as view all student overall grades at a glance.  See the Mobile App for Parents page for more information.

Enrollments

Enrollments allows you to see the Courses and Groups that your student is enrolled in, as well as current grades for the Courses.  Keep in mind that students in grades 1-3 use the Primary Achievement Scale which does not calculate an overall grade, so no grade will display on this page.  To view individual assignment grades for this student parents can click on the course and then grades or use the Grades view.  See the Mobile App for Parents page for more information.

Switching Between Students

To switch between students in the Schoology mobile app, parents will use the drop-down menu located on the My Children Dashboard.  Click on your student name in the top right corner.  The drop-down menu will show a list of all BCPS students that you are connected to in Schoology.  Select the next student from the list to view their information in the dashboard. All Children View

Unique to the Schoology mobile app, parents have the ability to simultaneously view the information for all BCPS students that they are connected to in Schoology.  To do this, click on your student name in the top right corner of the My Children Dashboard.  Instead of selecting one of your students, select All Children.  You will now have access to information for all of your students without having to switch back and forth.  On the Student Activity page, you will see a list of all recent submissions and grades for all students.  In other sections of the My Children Dashboard like Enrollments and Grades, you will need to select a child, but it is less cumbersome than going to the drop-down menu each time.
