Inventory
Process by which materials listed in the holdings data file are verified to determine physical presence of item on shelf or in circulation.

Purpose

  • Ensure an accurate accounting of library materials assets.
  • "Be prepared" to justify need for funding.

Libraries have been using technology for many years to provide electronic access to materials and manage libraries and collections. With the advent of library automation, inventory has become more effective, efficient, time-saving, and pleasurable.

  Collection Assessment - Grand Scale First Aid Inventory
When an annual investment of funds is not sufficient to build and rebuild library collections, it is human nature for librarians "to hold on to" whatever they presently own. Consequently, collections become seriously out-of-date, unappealing, unused, and no longer support the current curriculum. The library gains a reputation as a place not to go when one wants good information. Read comments by BCPS students BEFORE and AFTER the 2000-2001 Collection Upgrade. Turning Data Into Dollars presentation by Della Curtis at 2001 Computers in Libraries Conference has many analysis charts.

Fast Fact

Prior to 1999, it took school libraries in BCPS 10 years to evaluate their entire collection on a rotating basis.

In 2000, it took librarians 2-days (including training) to produce an assessment of their entire collection.

Weeding and Repairing/Reordering

Purpose
Is to ensure a quality collection that is current, in good physical condition, and supports the curriculum and personal interests of the students. Items are assessed using the same
selection criteria used to acquisition materials, including the following:

  • inappropriate, stereotyped, and out-of-date information (Refer to The Collection Program in the Schools text pg. 268, table 15.2 for excellent guidelines by Phyllis Van Orden. Also, CREW (Texas State Library) has an excellent guide. Directions for use of CREW guidelines..
  • information has been replaced by newer materials
  • subjects no longer taught
  • unappealing format ...small print, no illustrations
  • appearance and condition
  • worn and torn covers and pages
  • soiled and missing pages
  • dirty dust jackets
  • cataloging problems
  • missing barcodes and call labels
  • technology format is dated
  • non-circulated materials (5 years)

Benefits

  • Visual cue of the quantity vs quality issue
  • Ensure access to reliable information.
  • Creates an organized and uncluttered learning environment with visual appeal
  • Saves time in finding materials.
  • Brightens the overall collection look by removing dull and worn books
  • Communicate to students and staff a positive image of caring about their needs.
  • Communicate a strong statement that "Libraries are places for lifelong learning."

Handling Discarded Materials

  • DO NOT throw in trash disposal bins.
  • DO box send for recycling. BCPS recycles using Follett Educational Services.
  • DO give to other school libraries in the district materials such as:
    • (1) unnecessary duplicates
    • (2) materials purchased for the wrong age group.
